The Facilities Supervisor/Building Operations Manager works as a member of a team within the DGSOM Dean’s Office that supports management, planning, organization, coordination, oversight, and performance of building management services provided by both campus units and DGSOM staff to DGSOM campus buildings in Westwood. Across over 4 million square feet of space, this position is responsible for development of procedures, policies, and communications related to infrastructure and safety, and for management of a team of building coordinators who help to accomplish objectives defined by leadership.
The Building Operations Manager is responsible for coordination among DGSOM departments and the organization as a whole and its peer schools, which share resources, occupy the same buildings, and are served by the same campus and health system service providers. The Building Operations Manager functions as an advisor to all the health sciences schools’ leadership in building management and contributes to maintaining a safe, professional working environment.
The Building Operations Manager will analyze and resolve problems, interpret UCLA and UCLA Health policies in the areas of facility management, safety, and purchasing, and demonstrate subject matter knowledge to support good business judgement that supports community and culture across organizational units. Acting with a high level of independence, the Building Operations Manager will collaborate with the Director for Safety and Building Operations and peers within the team to plan and strategize around projects and initiatives that support the entire school, including renovation projects, process improvement, and negotiation with service providers, demonstrating a strong understanding of UCLA and UCLA Health’s business practices and how to maintain efficiency and quality within those parameters.
Annual Salary Range: $76,200 - $117,500
Required:
- Bachelor’s/Associate’s degree or Facility Manager Certification and 3-5 years’ experience, which must include experience among some or all: facilities, construction, administrative, operations, and/or project management.
- Demonstrated excellent customer service skills.
- Experience with personnel management.
- Project coordination and/or management skills, demonstrated in execution of independent work on short-term projects, especially small construction, or renovation projects.
- Demonstrated English written and verbal communication skills (writing sample required) to distribute messaging (1-on-1 and mass messaging) to stakeholders, protocols, plans, and/or document resolution of work orders.
- Collaboration skills, including meeting scheduling, agenda preparation, and meeting facilitation.
- Strong word processing skills, especially Microsoft Office suite, and demonstrated experience or ability to learn to use other software tools, such as Microsoft Excel, access or other database software, survey creation, queuing software, project management software.
- Demonstrated ability to work independently and as part of a team cross-trained to support all locations.
- Ability to lift/move 50 pounds and spend up to 75% of total time on foot.
- Ability to perform physical work such as moving and relocating small equipment.
- Ability and willingness to work on site consistently and punctually at predetermined hours (with occasional scheduled deviation; some scheduled, episodic remote time may be possible).
- Ability and willingness to occasionally work outside of scheduled hours to respond to emergency situations
- Exceptional customer service skills and a high level of visibility to building occupants.
- Able to build strong relationships with building occupants; demonstrate that their needs and prioritizes are being operationalized.
- Leverage strong relationships with service providers to successfully access services.
Preferred:
- Knowledge of skilled trades (electrical, plumbing, etc.) and construction-related practices.
- Knowledge of basic science research environment.
- Demonstrated success interacting with UCLA purchasing, facilities management, and safety policies and procedures.
