Job Summary:
Vanderbilt University Medical Center - Executive Search Team is conducting a national search for a Departmental Administrator, Department of Biomedical Informatics.
The Department of Biomedical Informatics (DBMI) is one of the largest academic departments of biomedical informatics in the country. DBMI has more than 130 faculty members, an excellent graduate training program and a well-respected portfolio of research and development projects related to clinical, computational and translational informatics; bioinformatics (genomics, proteomics, metabolomics and more); pharmacogenomics; systems biology; personalized medicine and more.
Vanderbilt's Department of Biomedical Informatics (DBMI) is an internationally recognized leaders in biomedical informatics, with strong relationships to academic departments in the university and the clinical operations of a large medical center. DBMI has an emphasis on interdisciplinary research, with a focus on health information technology development, clinical knowledge and workflow modeling, implementation sciences, machine learning and clinical decision support, biomedical data analytics (clinical, genomic and proteomic), and natural language processing, privacy and security.

Position Description:
The Departmental Administrator will have responsibility in the following domains:
Key strategic partner for the Chair
- Serve as a key strategic partner for the Chair for major decisions
- Translate high-level strategies into actionable plans
- Participate in departmental and institutional meetings and programs as a representative of the Chair
- Ensure institutional policies and best practices are followed
Finance
- Develop and manage budgets
- Drive financial performance including personnel, supply management, and faculty compensation
- Produce timely and clear financial reports, analysis, and recommendations to the Chair, Departmental Leaders, and Institutional Leaders
- Manage payroll and Workday systems
- Function as the contact point regarding departmental fiscal and administrative matters.
Personnel Management and Leadership
- Lead, develop, and retain a strong staff
- Develop reporting structures for optimal team performance
- Work effectively with key leaders to achieve institutional and departmental objectives
- Ensure and support a diverse and inclusive workforce
Resource Management
- Manage office and research space
- Recommend distribution and allocation of departmental resources
- Formulate and administer policies and procedures for management and maintenance of physical plant
Data and Technology
- Manage administrative data and analytics across the departmental mission area
- Collaborate with colleagues across the enterprise to enable effective data and technological management for the departmental and organizational mission areas
Minimum Qualifications: This position requires a Bachelors' degree and a minimum of seven years demonstrated strategic management experience including budgets, financial reports and the ability to navigate and interface with multiple departments in the organization and supervising direct reports
Preferred experience and skills:
- Excellent written and oral communication skills, with a well-developed sense of diplomacy with dynamic groups.
- Demonstrated administrative and financial leadership
- Proficiency in financial and administrative software systems.
- Professional work style with high level of problem-solving skills
